Payment & Funding Options
Payment Options
Sessions are billed for 50 mins of contact time and 10 mins of documentation time after your session. Our fees cover the full 60 mins set aside for you and is still significantly lower than the Australian Psychological Society's recommended fee of $311. Unfortunately, as a small practice and at the current Medicare rebate rates, Heartworks Psychology Services is unable to bulk bill clients. Payment for sessions are to be made immediately at the end of your session. Credit card details will securely stored to facilitate prompt payments and cancellation fees. We are able to take payments via Stripe or EFTPOS. Please note that if you are unable to make payment at the end of your session, an administrative fee of $30 may be charged for late payment and upcoming appointments may be cancelled if there are outstanding payments.
While many clients access our services privately, there are several funding options which might help facilitate your access to our services:
Medicare Mental Health Care Plan (MHCP)
You may be eligible for a Mental Health Care Plan (MHCP), which provides a current Medicare rebate of $141.85 per session. Your GP and some medical specialists can provide you a Mental Health Care Plan (MHCP) referral made to Dr Jasmine Pang or Heartworks Psychology Services. A copy of your MHCP needs to be forwarded to us via email prior to your first appointment to enable us to facilitate your rebate on the day of your appointment. The same rebates are available for telehealth and in person appointments and can be processed immediately after your appointment into your nominated bank account if you leave your Medicare card details with us. Alternatively, an invoice can be issued and you can claim your Medicare rebate directly from Medicare using your Medicare Express app. While we will endeavour to assist you with keeping track of your MHCP eligibility and requirements, it is your responsibility to ensure you meet the Medicare requirements to be able to claim the rebate. This might include monitoring your medicare session counts, ensuring timely reviews by your referring doctor and forwarding a copy of the appropriate paperwork to us prior to your appointment. Please note you do not need a MHCP or GP referral to access therapy.
Private Health Insurance
If you have private health insurance, you may be able to claim back part of your session fee. Contact your private health fund to see if you are eligible. An invoice will be provided to facilitate your claim from your health fund. You are not able to claim both a Medicare rebate and a rebate from your private health fund.
National Disability Insurance Scheme (NDIS)
If you are funded under NDIS, please note that we are not NDIS registered providers and are unable to invoice NDIS plan managers directly for sessions. An invoice will be provided for self managed NDIS clients and a gap payment may be required.
Department of Veteran Affairs (DVA) funding
You may be eligible for DVA funding if you have previously been a member of the Australian Defence Force. Your GP and some medical specialists can provide you a DVA referral made to Dr Jasmine Pang or Heartworks Psychology Services.
Other 3rd Party payers
If you are funded by other 3rd party payers, please note that that you might need to pay the fee difference if they do not cover our full fees. We are generally unable to organise payments by 3rd party payers so please to speak to us before your appointment if you are seeking this funding option.
Cancellation Policy
Due to limited appointments, to enable all clients to be seen as frequently as required, we have a strict cancellation policy. Reminders are sent both by SMS and emails, and the online client portal enables changes in appointments up to 48 hours prior to your appointment.
With this in mind:
-
Cancellations within 48 hours will incur a cancellation fee of $100
-
Cancellations within 24 hours and appointments that are missed without notice will be charged at the full fee
Cancellation fees will be automatically charged to the credit card on record. Please note that Medicare will not pay a rebate for a cancellation fee.
A late cancelled appointment is a loss to 3 people:
-
The client who is delaying their therapy progress
-
Another client who has been sitting on the waiting list to see the psychologist urgently
-
The psychologist who had spent time preparing for your session and had set the time aside for you
